I suggest you take personal the items you mentioned in the Philmont list,
your Ranger will help you reduce the weight some. Some of the items you
have such as soap, toothpaste, sunscreen and bug repellant can be shared
with the entire group only one or two will be needed for everyone. You can
carry one of those items and others will get a single item too. Mountain
suds liquid works better than bar soap, you wash dishes, your clothes and
body with it. Also a shared item. I wouldn't trade my Thermo rest pad for
anything Philmont ground is hard.
 
Crew gear - If you have lighter tents you use and they have never had food
in them, using your own is not a bad option. You will only need one ground
cloth per tent just make sure it covers the whole bottom. I have used both
and prefer my own. Ditto for dining Fly, you can use someone's trekking
poles instead of the tarp poles that is a 3 lb saving for the group. On my
last trek I used one 6 qt pot with equal size fry pan for a cover and one 4
qt pot with cover. We were able to cook meals for 12 in them if we watched
the water. We had one large spoon for mixing and serving and it worked
well, if your group wants the soup separate a soup ladle would be nice. We
brought them from home so we didn't have to clean them at camp headquarters.
If you get issued a Philmont set your Ranger will advise the crew to leave
some items behind.
