Agree completely with previous posts regarding the team concept, and Coop puts
it very well, as he always does.
My experience in planning Philmont Expeditions is to make a budget, and include
most every group expense into the budget. Then divide that by the number of
participants and that's the fee that is collected in advance, in installments
over time if desired. My budgets always include (1) Philmont fee, (2) all
transportation expenses (incl air, ground - charter bus or rental vehicles,
gas, etc.), (3) lodging and meals while traveling & touring (pre and post
Philmont), (4) crew equipment needed that's not furnished by Philmont (or
otherwise contributed) (such as stoves, fuel bottles, water bags, spices, maps,
fuel purchased on the trail), (5) activites while touring (rafting, entrance
fees, etc.), (6) t-shirts, (7) 50-miler patches, (8) postage & printing, (9)
training/shakedown trip expenses, and (10) contingency amount. Some of these
items are estimates, and excess can be returned or dealt with however you pre-
determine. I figure most meals on a base standard rate for fast food prices or
other known restuarant stops. I don't include in this budget personal expenses
such as film, souvenirs, snacks. Crewmembers can always supplement the basic
meal allotment out of their pocket if they want more food than the basic amount
covers.
I'd sure hate to plan this any other way. Collection for things on the fly can
