There is some flexibility with the under-21 scout. And you are exactly correct that calling ahead of time will eliminate most problems. But there is a finite limit for the youth and an even more finite limit for adults (for whom they are about as flexible as a steel pipe). We had 1 youth and 1 adult that had to stay home last year. It wasn't pleasant but it certainly beat having to make arrangements to send them home. BTW, they both formally requested, and received, a refund for medical reasons.
