This may be a little late in the process, but we have always had a
mandatory meeting with parents and crew members before the trek. We handed
out the equipment packing list in October with a copy to both the crew and
the parents so they had a chance to do some Christmas shopping to pick up
some of the equipment. The mandatory meeting was in April, and included
pizza.

When the crew and parents arrived, my pack was on the floor, and all of the
equipment was laid out. We went over each item, and packed it. They got
to see that what looked like a lot, went into the pack with lots of room
left for crew equipment, which was on the opposite side of the room.

We spent about 15 minutes on a handout on bear safety and a list of what to
bring, what not to bring, what to do and what not to do. It gave us a
chance to get the parents support, and get all of the questions out in the
open up front. It also let the parents know that we were not a risk free
outing.

You may still have time to get the parents to meet as you do a pack
check. You do not have to mention anything special to a boy in front of
the other crew members expect to highlight the missing items on a list and
hand it to the parents. You can also hand back all of the items that do
not belong. This would be a good chance to hand out one more time the
information on bear safety too.
