Diane,
I could send you a copy of our budget (actual expenses from 2002 and/or
preliminary budget for 2004) if you would like.

For fuel, we used white gas. I can't tell you precise quantity. We bought a
gallon of white gas at a local "Mart" while traveling to Ranch. After
filling our bottles, we had extra and gave it to another crew. When
refilling at the back-country commissary, I spent less than $5.

I carried $20-30 while on the trail. I bought Root Beer for the crew at the
Cantina - less than $10...

As part of our budget we included:
Money for admission to any museums or other entrance fees (Pike's Peak,
Great Sand Dunes, Ft. Garland, etc..
Tips for Bus Drivers
$ for extra crew photo for troop archive
Bottled water and snack for on the bus
Money for postage to ship stoves home, after trek
and
CONTINGENCY FUND - we collect $50 per person, in advance to cover any
unplanned or emergency cost (these unplanned costs could include damaged
Philmont facilities or gear). We carried some of this fund with us and were
prepared to cover the rest on advisor credit cards. I feel it is important
to have those funds in troop hands prior to the trip, rather than try to
collect it after. We have not, yet, had to use it. We refund any unspent
balance.

Also there are crew maps - we get those in advance, but have seen a crew
buy theirs after arriving at the Ranch.

I hope this helps.

Yours in Scouting,
Rick Neff
