Our crew handles purchased meals in this way, while travelling for
shakedown trips and for Philmont. We predetermine how many meals will be
purchased on the road, and collect $5 from everyone ahead of time for each
meal. The treasurer keeps the money and hands each person a $5 bill when we
stop. If you spend more than $5, you pay with your own pocket money, if
it's less you get to keep the change. It's always fair, regardless of how
much a person eats. We avoid fast food except for Subway -- a good
variety, and even a footlong with pop doesn't cost much more than $5. A sit
down meal at a restaurant will cost more, but we tend to eat light on the
road as it's easier on your stomach, there are plenty of snacks in the van,
plus there is usually an advisor on the Jerod diet trying to make weight at
the last minute :-)
As for a 'contingency fund' for Philmont, we added on about $75 to the
overall estimated cost of the trip. In 2001, we thankfully had no
emergencies and each crew member got $90 returned when we got home.
