Here's our T1701 reservation form we used at our May '05 high adventure
rally. I've been refining variants of this over the last several high
adventures. It's worked very well for us. It's simple. It's consistent. It
supports rank advancement. Rank advancement supports the 3 aims of Scouting.

_______________________.
We understand the following:
The Philmont expedition will occur in the summer of 2006. Scouts must be 14
years or older on Jan 1st of the year of the trip.
Space is limited; crew size is a maximum of 12 (8-9 Scouts and 3-4 adult
leaders) Scouts must be First Class rank or above.
If the number of Scouts exceeds the number of available slots then selection
will be made in descending order of rank (Eagle, Life, Star, and First
Class). If two scouts are tied (i.e. have the same rank) the tie-breaker
will be made by the Lead Crew Advisor based on related merit badges
(camping, hiking, backpacking, wilderness survival) and/or Troop leadership
positions.
If the number of adults exceeds the number of available slots then selection
will be made by the Committee Chairman based on service to BSA.
A waiting list will be created for any Scouts or adults who do not make the
initial roster.
There will be 3-4 weekend training campouts in the spring of the year of the
trip. We anticipate participating with the Troop on the regular, scheduled
campouts. On these campouts the Philmont crew will spend time learning
backpacking skills and other techniques to ensure a comfortable, safe trip.
Training as a crew is important and participation at these campouts is
essential. The Lead Crew Advisor has discretion to remove Scouts or adults
from the crew who do not participate.
Anticipated trip cost is $1,100. A deposit of $50 is required with this
reservation form. Two equal payments are due around in Sept-Oct 2005 and
Jan-Feb 2006. Camperships are available based on need. Deposits (and future
payments) are non-refundable unless a substitute crewmember is located by
you and approved by the Lead Crew Advisor. Deposits will be returned if we
do not have sufficient participation OR to scouts and adults who are put on
waiting list.
