No refunds of the deposit. It is figured by the individual. We sent in
deposits for 16, had 11 attend. Lost $250 in deposits.

Philmont tells you they want all the money up front for as many as you want
to send. However, you only have to sign up for and send in money for 7 per
crew. If you go with 12, Philmont will let you add 5 and pay for all when
you arrive. They will tell you they want you to send it when you know how
many, but they will take at on day of trek (personal check or cash, not
credit card). Caveat is that you don't get to say 3 crews and sign up only
21, as you would then only get two crews. You do have to pay for full crews
up to the seven minimum on the last crew. What Jim should have done above,
was paid for 14 rather than 16 (minimum for two crews of 7), and then they'd
have only lost $150 in deposits. For three crews, I guess the min would be
25 (get past the first two 12's before start allocating for three crews with
min of 7)
Is it trustworthy to send in 7 when you know you'll have 12? No. If, on
the other hand, you know you are having trouble with commitments, then send
in the minimum you know you will have commit, and make up the difference
when you get there. Our last crew had 9. We committed to 7 with Philmont,
and in 2005 we paid for the extra 2 when we got there. We did tell Philmont
ahead of time that we thought we would have 9 (for a while we thought we'd
have 10).
In 2003, we paid for 12 because we thought we would get 12, even though one
was waffling. We ended up with 11 and ate the full fee for one ($435 at the
time).
