[Philmont]: Philmont Date to call for Summer 2004

To add to Brian's comments below regarding the waiting list.

Our unit was No. 89 on the waiting list for 2002. We were called on Nov. 11, 2002 and accepted the challenge. We sort of suspected that we might be called and had made some contingent plans to be ready. Unfortunately, when you are on the waiting list, your choice of dates are not necessarily the best. We were given three dates during the first week of August to choose from. We selected Monday arrival on 8/5 to minimize impact on adults who had limited time off from work.

I was told by a lady at Registration last summer while I was at the Training Center that during National Jamboree years, the number of units on the waiting list goes deeper meaning that you have a better chance of getting the call to go. This arises because units and councils overbook and then find their force divided between Philmont and a Jamboree.

If you do get the call, realize that the next important registration date will occur on or about March 1, 2004. At that time you will receive a packet from Philmont to select the particular trek you want. In January our crew met and went over all the different activities, trails, etc. We had each participant indicate the three activities (black-powder, rock climbing, spar climbing, 3-D Archery, etc.) that they wanted to do. Using this type of a polling system we were then able to come up with a trek that matched the ability of all the crew members and the activities that they wanted to do. When the package arrived from Philmont, the card was back in the mail the same day and we got everything that we wanted. At this stage I recommend that you get the 3-D interactive disk from Tooth of Time Traders. We found it quite valuable, but realize that treks are tweaked each year. Hopefully, by the time you go, the disk will be updated. (We chose Trek 16 by the way)

We arrived home on 8/19. Needless to say with a little planning and some luck, we had a very enjoyable experience and the opportunity of a lifetime. Some of the youth are looking at ROCS or the OA Trail Crew for next year. As for the four adults, I believe each one of us would jump at the opportunity to go again.

  I picked up the 2004 reservation information when I got off the trail Aug 6th. "Council Contingent Reservations for 2004 will be taken during September 2002. A reservation fom will be mailed to each Scout Executive in August. Each council will be asked to freeze their reservation at or below their 2002 or 2003 level"

  If your Council plans on going to Philmont this is the best way to be guarenteed a slot because Councils get first choice.

Callers may place crew reservations for members of their chartered unit only, but are not limited to one crew (maximum crew size = 12 participants), however please be realistic when estimating attendance to avoid unnecessary expense (forfeited fees) and to permit the maximum number of units to make a reservation."

  Hope this helps, there is additional infomation on what happens when the 2004 treks reach capacity and what happens when you get on the waiting list. This past year I believe I read there were over a 1000 units on the waiting list.
